Overview

We require a 50% deposit of the price of the photo expedition at the time of reservation. This deposit is non-refundable because of the lodges’ and camps’ booking and cancellation policies.

Our other, general cancellation rules are:

  • 61 to 31 days before the starting date of the expedition; 75% of the total cost of the expedition
  • 30 days or less before the starting date of the expedition; 100% of the total cost of the expedition

Again, these are almost completely dictated by the lodges’ and camps’ cancellation policies.

 

General Booking Terms and Conditions

“The Company” below is always referring to Expedition Conservation Wildlife Photography Safaris. 

Cancellation, Refund, and Final Payments

Once the reservation is confirmed, the deposit paid is non-refundable. A full refund (minus the deposit paid) will be issued for any cancellation before departure, according to the cancellation rules above. 
All cancellation requests must be made in writing. 

Please note that no partial refunds will be given for unused meals, hotel rooms, airport transfers, etc., for any reason whatsoever. Expedition Conservation Wildlife Photography Safaris reserves the right to increase the tour price in the event of cost increases due to changes in airfares, currency fluctuations, park fee increases, fuel surcharges, taxes, etc. Expedition Conservation Wildlife Photography Safaris reserves the right to alter the tour without notice.

We may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability, or other external events that render the trip inoperable in accordance with the planned itinerary. If we cancel your trip, you can transfer the amounts paid to alternate departure date or receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control, refunds will be less than any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.

Final payment must be received by the Company 30 days prior to the departure date. Failure to comply with this requirement will result in automatic cancellation of reservation and forfeiture of deposit. If the reservation is made within 30 days of departure, full payment must be made immediately upon confirmation. The Company accepts bank transfers or cash payments (in USD, at the time of arrival). 

Expedition Conservation Wildlife Photography Safaris is flexible about making amendments to meet your needs, interests, and budget, provided all changes are made in time and in written form. Depending on the specific changes you would request, the package price is subject to change. Any changes in your safari package that incurs extra cost will be charged accordingly.

Responsibility

You should ensure that you have all the travel documents including passports, visas, and vaccination certificates (if needed) before your departure date. For any vaccination, for example, the yellow fever vaccination, consult your physician or travel health specialist for the proper prescription. It is your sole responsibility to obtain appropriate medical advice as to medication, immunization, and whether or not you are fit enough to undertake the trip, prior to departure. 

Expedition price

All Expedition Conservation Wildlife Photography Safaris package prices are subjected to change based on park fees or government taxes. Should the respective authorities decide to increase any fees and taxes, we would subsequently pass these increases on to you. Included are all expenses in respect of safari vehicle, driver-guide as per itinerary, meals while on safari, accommodation, park entrance fees to National parks, mountain hut/ camping fees, mountain rescues fees, and all camping facilities, and an 18% V.A.T (Tanzanian) government fee.

Expedition transport

Expedition cars, 4×4 Toyota Land Cruisers with pop-up roofs will be provided according to the expedition program/itinerary and the number of expedition participants. The company reserves the right to employ the services of the same standard sub-contractors if the need will arise. Multilingual-speaking guides other than English and Finnish can be provided on request.

Expedition Accommodation

Accommodation is based on two persons sharing a twin/double room or tent, single rooms are provided at an additional cost (single room supplement). Hotels/lodges/tented camps are named as an indication of category and accommodation may be reserved at the same standard hotels/lodges/tented camps. In this case, you shall be notified of your safari expedition accommodation in advance, if the accommodation is subject to change from what is indicated in the respective Expedition Itineraries on this website. 

Alteration on Expeditions

The company reserves the right to alter arrangements or cancel the operation of a scheduled expedition should conditions necessitate. It also reserves the right to decline to accept or retain any person as a member of any tour at any time, in which case an equitable amount will be refunded. Prices are based on tariffs and other operational costs prevailing at the time of writing.

Liability

The company and its agents act as agents of the tours, transport, etc., and shall not be liable for any injury, delays, loss, or damage in any manner. The company’s and its agent’s liability to passengers carried in its vehicle is governed by the laws of Tanzania in which the tour takes place. All claims are subject to the jurisdiction of the courts of the country in which the actions arise. The company reserves the right to employ subcontractors for all or part of the services. The company shall not be held responsible for any loss or damages to luggage. However, if your luggage gets lost while in transit or does not arrive on time, we will do our best to assist you in retrieving it and have it delivered to your hotel/lodge/tented camp upon its arrival. 

Problems

If you have any problems or concerns during your expedition, inform your safari guide(s), Camp/Hotel manager, or Expedition Conservation Wildlife Photography Safaris immediately to resolve your issue as quickly as possible. Your communication with us is critical, as most issues can be resolved very quickly, so you can enjoy the rest of your safari expedition to the fullest. We are here for you!

Risk

Expedition Conservation Wildlife Photography Safaris and its agents will not be responsible for injuries while on a safari expedition if rules, protocols, or procedures instructed to you by your safari guide(s) are not followed. This includes advice to avoid loss or damage to your personal property. There are certain inherent risks present when on safari, or when engaging in any strenuous physical activity. Expedition Conservation Wildlife Photography Safaris is not liable for any illness, injury or loss while lodging at your accommodations.
